Remember to complete the following tasks during the summer:
- Create a new instructional calendar.
- Manage new campuses & licenses. (Do NOT delete campuses!)
- Manage users.
- Add, delete, update profiles and change roles & rights.
- Update custom groups.

- This does NOT have to match the instructional calendar.
- Make sure all courses are coded.
Create a New Calendar
In the System Management application, create a new school calendar for the upcoming year. This can be completed by any system administrator. The most important information to enter in the calendar is the first instructional day and the last instructional day for the upcoming school year. Make sure to add reporting calendars and holidays to maximize the use of Eduphoria!.
Deleting and Updating Accounts
In the past, we have recommended that user accounts not be deleted for various reasons. Instead, the suggestion was to move those user accounts to a campus with no licenses (Z_Left District for example.) Now, customers have the ability to UN-DELETE USERS, which gives more flexibility for managing accounts. If a user comes back or past documentation is needed, the user account can be easily un-deleted.
|As a best practice, it's best to FIRST remove the user from any workflows (i.e. Formspace, Workshop, Facilities&Events, etc.) where this person is responsible for approving or denying actions in any of the applications BEFORE deleting the account. For some applications, there is not a replacement function for the user's job.|
It is also a best practice to remove any Roles and Rights from the user's account.

How to Delete Users:
- Select Manage Users.
- Search for User and Select. (At this time, system administrators cannot mass delete users.)
- Click Delete.
- Confirm by clicking OK.
Verify Roles & Rights to applications
You can run a report to pull a PDF detailing which users have specific roles and rights in the applications. This is helpful for determining who has and needs to continue to have administrative rights into your applications.
- Select Manage Users
- Click Print Role Report
- Select the application to view roles assigned
- Click Print Right Report
- Select the application to view rights assigned
The report will download as a PDF document for viewing by role or right.
