Setting Up Your Calendar
The first step in Management is to create a school calendar. The information required in the calendar depends on the applications you have purchased.
You will need to set up a start date and an end date for the school year. To do this, click on School Calendars in the left pane. You will see the current month displayed with options in the top toolbar. Select Create a New Calendar in the bottom left to begin.
You will then enter a wizard to flesh out the new calendar. Enter the following to complete the wizard:
- Select New Instructional Calendar
- Select first instructional date (Use red carets to change months.)
- Select last instructional date
- Choose number of reporting cycles
- Click Begin Editing Instructional Calendar
You will now see your new calendar under Reporting Year Layouts on the left, and instructional days connected to each date within that calendar will appear on the right. If you are going to be using Aware and/or Forethought, more setup is needed.
Click the plus sign beside your calendar under Reporting Year Layouts and click on your Reporting Year (Two Term – Six Week Cycles/Two Term – Nine Week Cycles depending on what you selected above). You will need to adjust the cycle start and end dates to match your district’s dates. When finished, click Save.
The start and end dates determine when teachers of record will be able to view their student information in Aware. Some districts modify these to include days before the school year begins, after the school year ends, etc. to allow for teachers to extend the window for viewing student data.
You will need to select each day within the calendar that will be a student/staff holiday and choose the appropriate option on the right. Once chosen, click Update Day Information for each day you change. Repeat this process for all holidays, etc.
Note: If you add holidays, these days will not count against technician statistics for requests being open in Helpdesk.
