The Role of Limited Course Creator has been created to replace the roles of Instructor Course Editor and Limited Course Manager. All users with this role will have to go through your district's designated approval process for course creation if enabled.
Enabling Workflows for Course Creation
Professional Development Administrators will need to enable the workflow option before the master workflow can be created. To do this the admin will need to go to the Manage tab in Workshop, click General Options, click the Workshop Options tab, and select the Default Course Options page. Towards the bottom of the page you will see a section titled Workflow, click the check box to enable the workflow.
Creating a Workflow for Course Approval
To add a workflow for course approval, click the Edit Workflow button found directly below the enable workflow check option. Click the Add Workflow Step button in the top right hand corner to open a drop-down menu to add an Approval Step, Notification Step, or a Freeflow Step.
Approval Step - This step designates an individual who will approve the course submission workflow step.
Notification Step – This step designates an individual who will receive a notification email regarding the course submission.
Freeflow Step - This step designates an individual who will be able to send the course submission to another person or who will be able to continue the workflow to the next person in the approval process; The Freeflow step triggers a non-restricted chain of approvers until the last person in the Freeflow step pulls the course back into the workflow by clicking the Continue Workflow button in the toolbar.
In order to delete a workflow step, select the step and click Delete Workflow Step from the top toolbar. Repeat as needed. Steps can also be rearranged by using the blue arrows in the top tool bar to toggle the step up or down.
As you edit each workflow step, remember to click the Save button in the middle of the screen to save the step you just created.
When the entire workflow is complete be sure to save it using the Save button on the top toolbar.
The Workflow Reprocess button will go through all of the submitted courses that have been started and have not been completed (“in progress”) and will attempt to continue the workflow. This process can be an intense load and a strain on the server, depending on how many pending courses are in the system when the button is pushed. The Reprocess button should be pushed only after you have finished making all of the changes to your workflow. It is not a save button and does not need to be clicked after each workflow step has been edited.
Situations that require the need to click the Reprocess button on a workflow include:
- The list of affected users in an approval or Freeflow step has changed.
- An Approval or Freeflow step has been deleted.
